What it is

The formal way to report, and to ask

The Transparency Line is the channel through which anyone connected to Proctek can confidentially report suspected conduct contrary to the Code of Ethics, to the Business Transparency and Ethics Programme (PTEE) or to applicable law.

It is also the place to resolve ethical dilemmas. If you are unsure how to act in a specific situation, you can use the channel without reporting anyone. Asking beats getting it wrong.

Anyone who deals with Proctek

Employees

Direct staff, agency workers and those on probation.

Contractors and suppliers

With a current or past contractual relationship.

Consortium partners and allies

Members of consortium agreements and joint ventures.

Clients

Public and private organisations that receive our services.

Neighbouring communities

Residents, local authorities and civil organisations near our projects.

Any third party

With reasonable knowledge of a situation worth reporting.

What you can report

These are the most common categories

Corruption and bribery

Improper payments to officials, transnational bribery, influence peddling, improper award of contracts.

Fraud

Forged documents, misappropriation, fraudulent accounting or financial reporting.

Conflict of interest

Personal, family or financial ties with counterparties that were not declared in time.

Gifts outside policy

Gifts and hospitality above the authorised limits, or without the record the PTEE requires.

Harassment and discrimination

Workplace or sexual harassment, and discrimination by origin, gender, sexual orientation, age or belief.

Money laundering

Suspicious dealings with questionable counterparties, or transactions with no economic rationale.

Not sure how to classify it? Don’t worry about that. Describe the situation in as much detail as you can and the Compliance Officer will classify it.

Frequently asked questions

What people usually ask before reporting

Can I really report without identifying myself?
Yes. The form starts in anonymous mode and never asks for personal data. At the end you receive a tracking key on screen, generated in your own browser, which is not linked to your identity. Bear in mind that leaving a way to contact you — even an alternative address created for this — lets us ask follow-up questions, and that almost always improves the quality of the investigation.
Who reads my report?
Only the Compliance Officer, a firm external to Proctek. No one else in the company has read access to the report repository.
What if the person I need to report is my manager or a director?
The channel is designed precisely for that. The Compliance Officer does not report to management: they report to the Compliance Committee and, ultimately, to the governing body. Being external is exactly what makes reporting upwards possible.
What is the tracking key for?
Three things: checking how your case is progressing, sending further evidence later by putting the key in the subject line of an email, and answering the investigator’s questions without identifying yourself. Save it as soon as you get it — we cannot reissue it, precisely because we don’t know who you are.
How long until I hear back?
A preliminary review within 5 business days. A full investigation takes between 15 and 60 days depending on how complex the case is. If you left contact details, you also get an acknowledgement within 24 hours.
What if my report doesn’t go anywhere?
We close the case with a note explaining why. Reporting something in good faith that later turns out not to proceed has no negative consequence for the person who reported it. What is sanctioned is deliberately reporting in bad faith.
I’m a supplier, not an employee. Does it apply to me too?
Yes, with exactly the same guarantees of confidentiality, anonymity and non-retaliation. Using this channel does not affect your contractual relationship with Proctek.
What technical data is recorded when I submit?
The form does not save drafts on your device and sends nothing until you press submit. If you are concerned about network traces, you can report from a personal connection and device, outside the corporate network.
